Form Associations

Form Associations
A new section has been added to the T&M Auth Form that allows users to associate specific prescriptions (RX# for OneVM work orders) or Tree # (for VMC work requests) to the form itself .  These individual records are called associations and will be added as shown below.  Some associations may be duplicated (added to) another form, and these will be displayed to user to help determine if the duplicate association the user is adding is valid or not.
 
 
A Form Association is a link between a Form and either a VMC Work Request Tree, or a One VM prescription (Rx) number.
 

Tree Associations

For VMC, and optionally for TMC/PO, a Form can be associated with zero or more Trees.  Each tree belongs to a specific Work Request.  This type of association is called a Tree Association.
 

Rx Associations

For One VM, and optionally for TMC/PO, a Form can be associated with zero or more Rx numbers.  Each Rx number can belong to zero or more Work Orders.  This type of association is called an Rx Association.
 

Duplicate Associations

An Association is considered “duplicated” if there is another Form already associated with the Work Request+Tree, or Rx number.
 

Associations Manager Window

In EDIT mode, the Association Manager is accessible from the T and M Auth Form by clicking the Manage Associations button.
 
The Associations Manager is displayed in its own modal window:
The Association Type is predetermined for VMC and OVM Forms but is selectable for TMC/PO Forms.  Once an Association Type has been established for a TMC/PO Form then that type must be used for all Associations for that Form.
A given Form can only have one Association Type for all of its Associations.

Tree Association Type
In Tree mode the Work Request search field is available, and the Work Request column is shown in the data grids.
Rx Association Type
In Rx mode the Work Order and RX Number search fields are available and the Work Order and Rx # columns are shown in the data grids.
 

Searching

Searching for a Work Request or Work Order will present matching available associations in the Available (upper) grid.  Any available associations already associated with the Form will be displayed in the Selected (lower) grid.
 

Rx Number Searching

When Rx Number searching is enabled (Rx Association Type) then the user can enter one or more Rx numbers into the Rx # search field.  This field is flexible: The user can enter a single Rx number, or a comma-delimited list of Rx numbers.  The Rx numbers entered will have the “RX-“ prefix auto-appended, if needed, before searching.
Importing Rx Numbers from CSV
Rx numbers can be imported from CSV file, instead of being hand-entered in the Rx # search field. 
This is a shortcut for entering Rx numbers to search for.  This does not import new Rx numbers to the server! 
Click the Import Rx button to open the file select dialog and choose a CSV file to import Rx numbers from.  These numbers will be searched for, and any matching Associations will be made available.  The user still needs to select the Rx numbers and move them to the Selected (lower) grid.
Rx Number Import CSV File Format
The Rx number import expects the file to have a single column with no headers.  The values in the column are the RX numbers to import.  Unlike hand-entry in the Rx # field, Nexus will not auto-prepend “RX-“ to the values, instead the values will be used as-is.
 

Adding/Removing Associations

The Association Manager window presents amover-list style UI to allow for adding and removing Associations.  The user can select one or more Associations in one grid and move them to the other using the Down (Add) and Up (Remove) buttons.
Click OK to accept these changes and go back to the T and M Auth Form.  Click Cancel to rollback these changes.  NOTE: Changes are not saved to the server until the user saves their overall changes from the T and M Auth Form Edit Form UI.
 

Existing Associations

Associations that already exist on the Form are always displayed on the Manager window, even if they do not match the current search criteria.  These items do not have any lookup data present (e.g. Address, Work Date, etc).  These items can be removed or re-added during the Association window session.

Duplicate Associations

See Duplicate Associations section for more information.  Duplicate Associations are displayed with an orange background on the Association Manager window.  This visual cue indicates that the Association exists on another Form.
For duplicated Associations, the View button is available on the Dup Forms cell of each data grid.  Clicking this button will open a preview of the Form(s) that share this Association.  The View button does not open the Form in the T and M Auth Edit Form (as the Edit Form is already in use and in EDIT mode).
 

Form Viewer

The Associations Manager window provides a Form Viewer which allows the user to see the Form(s) that duplicate the Association.  Any Associations that already exist on another Form will have a View button in the Dup Forms cell of the data grid.  Clicking this will load all Forms that duplicate the Association in the Form Viewer.
 
The Form data displayed in the Viewer is pulled from the server.  If the Form the user is currently editing on the T and M Auth Edit Form is displayed, then it will not reflect any of the user’s unsaved changes.
 
Navigating Forms on the Form Viewer
It is possible for more than one Form to duplicate an Association.  The Form Viewer allows for iterating over all of these Forms.  The Prev Form and Next Form buttons will move to the previous and next Forms, wrapping around when needed.  The drop down provides direct access to the Forms.
 
 
It is technically possible to association an Rx number with Forms across different companies.  This can occur if an Rx Number is not linked to a specific Work Order.  When this happens a user from company A will see Forms from company B:
In this scenario, however, a user can only view Forms that belong to their company.  If the user attempts to view a Form that does not belong to their company, they will be informed that access is denied.    
 
 

Associations Display on PDF Export

T and M Auth Form Associations are displayed on the PDF export file.  Non-duplicated Associations are displayed by Work Request/Work Order number, with associated trees listed
 
Duplicated Associations are displayed in a table.  Work Ord/Req, Rx Number and Tree# columns may have their cell values cleared, this indicates the value from the previous cell above carries over.
